Privacy Policy
Last updated: September 2026
This Privacy Policy explains what information Event Buddy ("the Service") collects, why, and how it's used. It applies to the Discord bot and the companion web panel.
1. Information we collect
When you log into the web panel with Discord, we receive and store:
- Your Discord user ID and username
- The IDs of the Discord servers you belong to, and your roles in the servers where Event Buddy is set up (used only to check whether you're allowed to manage events there)
When you or someone else creates an event, we store:
- The event's title, description, date/time, channel, category, reminders, and any roles chosen to @mention
- The username and Discord ID of whoever created it
- If RSVPs are enabled: the username and Discord ID of everyone who RSVPs, and which team they're assigned to, if the event uses teams or a bracket
We also use a session cookie to keep you logged in. It contains no personal data beyond a reference to your login session.
2. What we don't collect
Event Buddy does not read, store, or process the content of your Discord messages. It only reads the specific information listed above — nothing more.
3. How we use this information
- To verify who you are and which servers/roles let you manage events
- To display, edit, and post the events you and your team create
- To post reminders and daily digests on the schedule you set
We do not sell, rent, or share your information with third parties for advertising or marketing.
4. Where it's stored
Data is stored in a private database used only by this Service, hosted on the infrastructure the server administrator has chosen to run Event Buddy on. It is not shared with any other application.
5. How long we keep it
Event, RSVP, team, and bracket data for a given date is automatically and permanently deleted 120 days after that date, whether or not Event Buddy is still in the server — this includes RSVP analytics and the audit log, which follow the same 120-day rolling window. A server's configuration (categories, templates, mod-role and channel settings) isn't tied to a date, so it isn't covered by that automatic window — it's kept until it's deleted from the web panel, or until the server removes Event Buddy (see below). Login sessions expire automatically after a period of inactivity.
If a server removes Event Buddy, everything stored for that server is deleted immediately and automatically — not just the dated data described above, but its entire configuration, categories, templates, and history. This can't be undone; adding Event Buddy back to that server afterward starts it over from scratch.
6. Your choices
You can delete any event you created directly from the web panel. Removing Event Buddy from a server deletes everything stored for that server, as described above. For anything else, contact the administrator of the Discord server where you use Event Buddy, or reach out through that server.
7. Third-party services
Logging in uses Discord's own OAuth2 service. Discord's handling of your data is governed by Discord's own Privacy Policy, not this one.
Any Patreon link shown by the Service takes you directly to Patreon's own site. We don't receive, store, or have any access to your Patreon account, payment, or billing information — that's handled entirely by Patreon under its own Privacy Policy.
8. Children's privacy
This Service follows Discord's own minimum age requirements and is not directed at children under that age.
9. Changes to this policy
If this policy changes, the "Last updated" date at the top of this page will change too. Continued use of the Service after an update means you accept the revised policy.
10. Contact
