Help
A quick reference for setting up and using Event Buddy.
Getting set up
A server admin runs two commands once, in Discord:
/eb mod-role role:@YourRole— lets that role log into the web panel and manage events/eb channel channel:#your-channel— sets the default channel Event Buddy posts to
After that, anyone with the mod role can log in and start creating events — no further setup needed.
All /eb commands
/eb mod-role— grant a role access to the web panel/eb remove-mod-role— revoke a role's access/eb channel— set the default announcement channel/eb status— see the current mod roles and channel for this server/eb link— post the web panel link in chat, for anyone to use/eb help— get a link to this page
Creating an event
From the web panel, click + New event. You can set a title, description, date, category, channel, and roles to @mention. Delivery options let you post immediately, include the event in the daily digest, and enable RSVPs. You can also start from a saved template instead of filling the form out from scratch — see Templates below.
Categories
Categories color-code events on the calendar so different kinds of events (raids, movie nights, tournaments, whatever your server runs) are easy to tell apart at a glance. Open Categories from the menu to add one with a name and color, or remove ones you no longer use. Every event picks one category from the form.
Templates
Templates save an event's whole setup — title, description, category, channel, @mentions, delivery options, and reminders — so you can reuse it instead of rebuilding a recurring event type from scratch each time. Two ways to make one:
- Open Templates from the menu and click + New template to build one directly.
- From an existing event, click Save as template to capture its current setup.
When creating a new event, choose Use a template to pre-fill the form from one — you can still change anything before saving. Templates have no date or RSVP list of their own; those only apply once you create an actual event from one.
Recurring events
Set a repeat frequency (daily, weekly, every 2 weeks, monthly, or yearly) and Event Buddy keeps generating future dates on its own — indefinitely, or until an end date you set. Once you turn on repeating, you'll also set how far ahead of each date to post a fresh announcement; every occurrence after the first gets its own new announcement and its own RSVP list, so a long-running weekly event doesn't share one attendee list forever. Manage or stop a series from Recurring events in the menu — stopping one removes it and all its future occurrences.
RSVPs and the going list
When enabled, each announcement gets an RSVP button. Whether people can remove their own RSVP by clicking again, or only a mod can remove someone from the web panel, is a setting you choose per event. RSVP buttons close automatically once an event starts. Optionally, DM RSVP'd members with the event's reminders as they fire.
The event form's Going list shows everyone who's RSVP'd. From there, a mod can also search for and add a member directly — useful for signing someone up who can't do it themselves.
Teams and brackets
For events where people split into teams — tournaments, scrims, game nights — turn the going list into teams:
- + Add team creates a new, empty team.
- Drag a member's row onto a different team to move them (there's also a tap-to-move option for touch devices — use the ⠿ handle).
- Auto-sort keeps the going list evenly split across whatever teams exist as people RSVP. It's off by default and won't undo a manual move you've already made.
Once at least two teams have members, Build bracket seeds one match per team and generates a bracket in your choice of format: single elimination, double elimination, or round robin. Building again replaces any existing bracket for that date.
From the bracket viewer, Edit teams lets you tap two teams to swap their seed positions before anything's been decided, and Change format rebuilds the bracket from scratch in a different format. The teams list beside the bracket always shows every team's current roster. Members of the server (with the read-only viewer panel enabled — see Server settings) can view a finished bracket too, from the event's details.
Reminders
Add as many reminders as you like to an event, each a set amount of time before it starts. For recurring events, reminders fire before every occurrence, not just the first.
Server settings
Open Server settings from the menu to control:
- Daily digest — turn off to stop the daily digest for the whole server, even for events with digest enabled individually.
- Viewer panel — when on, any member of the server can log in and see a read-only calendar, without mod access.
- Sync to Discord's Events tab — mirrors posted events into Discord's native Scheduled Events tab. Discord doesn't let bots silence its own "someone's interested" notifications, so keep RSVPs happening through Event Buddy's own button instead.
The Announcement Timeline and RSVP Analytics
Under the calendar, the Announcement Timeline shows everything Event Buddy is scheduled to post in the next 14 days. RSVP Analytics shows category popularity and the most active members over a 7, 30, 60, 90, or 120-day window. Data isn't kept longer than 120 days.
Audit log
Open Audit log from the menu to see who did what on the web panel — event creation, edits, deletions, and settings changes — kept for 120 days.
The viewer panel
If a server admin has turned it on (see Server settings), any member can log in to a simplified, read-only calendar — no editing, no mod tools. Their My Activity section shows their own RSVP history over the last 120 days, and they can view a finished bracket for any event that has one.
Still stuck?
Double-check that a mod role and default channel are set with /eb status, and
that Event Buddy has permission to post in the channel you've chosen.
